Printing from Mac Device using Locked Printing

Printing from a mac is difficult. Well, maybe not difficult but it is cumbersome. The difficulty is compounded when you have to do locked printing. This guide will help you print from your Mac device.

First, we need to clarify that if your business requires locked printing, meaning you must enter a code to print, not all programs will support this feature. This guide will demonstrate how to do so from within Microsoft Word. What does that mean? Unlike the Macs PC cousin, which has all printing options in one central location (Settings>Devices>Printers & Scanners), print settings are individual to the application. Lets get started.

  • Start by booting up your Mac device (Macbook, iMac, Mac Mini, etc)
  • Once logged in, lets verify your printer is installed. 
  • Open System Preferences
  • Click on Printers & Scanners
  • Your printer should be installed. If it is not listed, you will need to install it.

Now that we have verified the printer is installed, lets try and print something.
  • Open Microsoft Word on your Mac and select the document you would like to print.
  • Once opened, press Command + P or go to File > Print on the upper menu bar.
  • If you are not doing locked printing, select your installed printer and press Print. Everyone else, continue to the next step.
  • Locked Printing: On the drop down that says "Copies & Printing", select the drop down arrow and choose the "Job Log" option.
  • Enter your USER ID, Job Type is Locked Print, and check the box that says Enable User Code. Enter your user code for both the, User Code and Password fields, and then press print.
That is all you will need to do to print using locked printing (print codes). You will need to do this every time you print.
